As a facility management, cleaning services and property renovation company, we handle data related to workforce management, client contracts, and supplier relationships. This Data Security Policy guides how we collect, use and store information about individuals and organisations in compliance with the Data Protection Act 1988 and the General Data Protection Regulations.

Data Collection
Home Life Solutions collects only the data necessary to conduct its operations and ensure compliance with legal and contractual obligations.
• Employee and Contractor Data: Includes names, contact details, identification documents (e.g., passports, work permits), right-to-work documentation, bank details for payroll, and training records.
• Client Data: Includes names, contact information, property details, and service agreements.
• Supplier and Subcontractor Data: Includes business registration details, contact information, and compliance documentation (e.g., insurance, labor policies).
• Data is collected during onboarding via secure HR systems for employees and contractors.
• Clients provide data through service contracts or secure online forms.
• Suppliers and subcontractors submit data via encrypted portals or during contract negotiations.
Two different sets of personal data may be collected, as below:
Personally-identifiable information such as e-mail addresses, billing information, employment status and contact numbers.
A subset of that category, Sensitive Data, deserves additional safeguards. Sensitive Data includes, by way of example, Clients’ confidential data, individuals’ home telephone numbers, Bank Account, Income Tax and National Insurance numbers, interview notes, CV’s, etc. Sensitive data deserves and will be given more protection.
In addition, we may collect information through the use of cookies. This information will be anonymous. We may make use of cookies to gather valuable information about how users move around the site. This enables us to understand how the site is used, to make improvements.
Use of Personal Data
Home Life Solutions collects Personally-Identifiable Information and Sensitive Data only when there is a legitimate business need to do so or when such information is made available to us with your consent. The primary uses of Personal Data are to manage employee and contractor payroll, scheduling, and compliance with right-to-work regulations, fulfill client contracts and conduct due diligence on suppliers and subcontractors to ensure ethical and compliant partnerships.
The data we collect is used only for the specific purposes for which it was collected and personal data is not repurposed without explicit consent or a lawful basis.
Data is retained only for as long as necessary, typically for the duration of employment, client contracts, or supplier agreements, plus seven years to comply with UK legal requirements (e.g., tax and employment records).
Data and Transfer Sharing
Where there is a legitimate business need to do so, we may pass your information between different departments of Home Life Solutions or to our financiers. We will never share your personally-identifiable information with other companies however we may use your information to directly send information to you about services from such third parties. We will never share personally-identifiable information about you unless you have authorised us to do so or in circumstances in which we are obliged to do so by law.
Home Life Solutions does not sell personal data in any form, including mailing lists. All the personal data held and processed by Home Life Solutions is gathered by Home Life Solutions and is exclusively for internal, business related activity. Data may be shared with regulatory bodies to meet legal obligations. Client and suppliers may receive necessary data (eg. contact details for service coordination) only with consent or contractual necessity.

If your relationship with us includes providing us with Sensitive Data, we will protect that information with extra care. We will not disclose sensitive data to any third parties and if you so request, will give you the chance to opt out of sharing this information within our own organisation. We understand some data is on a ‘need to know’ basis.
Third Parties and Subcontractors
Occasionally, we may introduce a third party to help us with our contracts. All third parties and subcontractors are vetted for compliance with data protection laws before engagement. Only necessary data is shared with third parties.
Access, Review and Correction
Home Life Solutions ensures individuals can access, review and correct their personal data to maintain transparency. You may request details of personal data held by us. We will take all reasonable measures to ensure that the personal data we hold about you is accurate. MODERN SLAVERY AND HUMAN TRAFFICING STATEMENT
Modern slavery is a crime and a violation of fundamental human rights. It takes various forms, such as slavery, servitude, forced and compulsory labour and human trafficking, all of which have in common the deprivation of a person’s liberty by another in order to exploit them for personal or commercial gain.
Home Life Solutions understands the service sector to be at most risk of potential modern slavery within its labour supply chain and therefore has a zero-tolerance approach to modern slavery and significant processes in place to detect and prevent it within the operation. We are committed to acting ethically and with integrity in all our business dealings and relationships and to implementing and enforcing effective systems and controls to ensure modern slavery is not taking place anywhere in our own business.
This statement, published in accordance with Section 54 of the UK Modern Slavery Act 2015, details our efforts to ensure ethical practices across our operations and supply chain. It applies to all employees, contractors, subcontractors, suppliers, and partners engaged with Home Life Solutions.
Responsibility
The Board of Directors and senior management oversee the implementation of anti-slavery policies. The Managing Directors have overall responsibility for ensuring this statement complies with our legal and ethical obligations, and that all those under our control comply with it.
Compliance
Employees must ensure they read, understand and comply with this statement. The prevention, detection and reporting of modern slavery in any part of our business is the responsibility of all those working for us or under our control. Employees are required to avoid any activity that might lead to, or suggest, a breach of this statement.
Employees are encouraged to raise concerns about any issue or suspicion of modern slavery in any parts of our business of any supplier tier at the earliest possible stage.
If an employee has reason to believe that a breach of this statement has occurred or may occur, they are required to report it to their manager or designated whistleblowing contact in line with the company’s Whistleblowing policy, as soon as possible.
Communication
We maintain a zero-tolerance approach to modern slavery, which will be clearly communicated to all suppliers, contractors and business partners

We are committed to fostering a culture of openness and will support any individual who raises genuine concerns in good faith under this statement, even if those concerns ultimately prove to be unfounded. No employee will suffer any form of detrimental treatment as a result of reporting, in good faith, a suspicion that modern slavery - of any kind- may be taking place within our business.
Any suspicions should be relayed to a senior member of management. A decision will be made on how best to approach the situation. In the case where the suspicions must be escalated to the relevant government agency, more information may need to be gathered. Suspicions of any level will be acknowledged and addressed appropriately.
We actively encourage all staff to raise any concerns they may have about the welfare of colleagues or individuals they encounter in the course of their duties.
Training
All employees will have access to an online Modern Slavery training programme. This will be assigned to the employee on joining the Company and again at regular intervals throughout their time with HLS. Training may be reassigned due to changes in legislation or guidance or for the improvement of our team’s standard of knowledge.
All employees involved in recruitment activities are required to complete online training during their induction period. This training will cover key indicators of modern slavery and human trafficking, provide guidance on best practices, outline how to appropriately approach potential victims, and explain how to report any suspicions to the relevant government authorities.
Any training provided in this subject will be certified by CPD Certification Service and recognised as conforming to universally accepted Continuing Professional Development (CPD) guidelines.
Any individual who has not completed the training must not engage in the following activities:
Recruitment of new temporary workers
Reengagement of previously employed temporary workers
Conducting right to work checks
Taking and processing any change of details from a temporary staff member
Any task involving building and updating Employee Management System profiles.
Breaches of Policy
At Home Life Solutions, we address breaches of this policy swiftly and decisively. Any employee who breaches this policy will face disciplinary action, which could result in dismissal for misconduct or gross misconduct and referral to law enforcement.
We may terminate our relationship with other individuals and organisations working on our behalf if they breach this statement. We are committed to improving our practices to combat slavery and human trafficking.
